Information you give us
When you create an account, we use your email address and sign-in information to manage access. We may store your display name, account type, age-13-or-older confirmation, preferences, program role and team or program details.
Depending on the feature and your membership, we may store your chats, plans, drills, approved Coach Profile notes, feedback and other saved work. Optional features may also store recruiting profiles, college-fit snapshots, outcomes or coaching-knowledge contributions that you submit. Account and application data use Supabase, and the website is hosted through Railway.
AI and imported material
We send relevant questions, conversation context and approved program notes to OpenRouter and the model providers it routes to so the AI can respond. If you choose to import Coach Profile pages, their text or images are sent for AI extraction; you review the draft before saving notes. The import does not save the original pages in your Coach Profile.
Please avoid entering passwords, payment-card details, private player information or identifying information about children under 13 in prompts or uploads. We do not promise that AI providers retain no data or never use it for training.
Program sharing and support
Saved chats and plans start as private. Some tools let you make work visible to active members of your program or explicitly publish a team note. Access depends on account and program permissions. The service has time-limited support-access permissions for authorized issue review; feedback you submit can include a comment and, if you choose, a reference to coaching content.
Payments
If you choose a paid membership when checkout is available, Stripe handles payment and billing-management pages. We may keep Stripe customer and subscription identifiers and billing status to manage access and support. CoachAssist does not store full payment-card numbers in its membership tables. Usage information and your browser
We use sign-in and preference cookies to run the service. A signed guest cookie may track the free guest-reply limit. Our in-app product analytics records limited feature events with a random short-lived tab session identifier; it does not put your account ID or prompt text in those event records and honors browser Do Not Track and Global Privacy Control signals. Operational AI records can include request outcome, duration and cost without prompt text.
Some tools save an optional device copy in your browser, such as a QuickDraw drawing, until you clear it or your browser storage is cleared. Opening an embedded video may contact YouTube. Hosting and service providers may also process technical connection information needed to deliver the site.
Age and player information
People must be 13 or older to create their own CoachAssist account. Children under 13 should not create an account. Coaches and parents should not enter or upload identifying information about children under 13; use non-identifying team descriptions instead.
Questions and privacy requests
Signing out does not delete saved work. Some tools offer deletion or archiving; archiving is not the same as deletion. Device copies and backups are separate from the content visible in your account.
Email [email protected] to ask about your information or request access, correction or deletion. Include the email address on your account so we can locate it, but do not email a password, full payment-card details or private player information. We will review the request and any account, program or billing records involved; this page does not promise immediate deletion or a fixed retention period.
